Actions that can’t be undone

Deleting a season deletes everyone in it. All of the season’s members, their deliveries and its harvest plans are removed for good. To end a season, use Close season on its Box contents page instead. That stops signups and cancels future unbilled deliveries but keeps all your records. See Seasons and delivery dates.

  • Remove member deletes a member and their whole history from Copia. Use Cancel membership unless they were added by mistake. Their Shopify customer isn’t affected either way.
  • Deleting a pickup location leaves its members without one. Move them to another location from their member pages first.
  • Deleting a share type or size removes it from Copia only. Your Shopify product and variants aren’t touched, and you can link them again later.
  • Deleting a delivery date in Harvest Planning removes that date’s box contents and everyone’s box for that date.

Changing things mid-season

Prices. Change prices in Shopify, then click Sync on the share type. Each upcoming box is re-priced when you run billing, so members are billed the new price from their next bill. Bills already sent don’t change.

A member’s size, add-ons or pickup. Edit them from the member page. Their future unbilled boxes update. Boxes already billed stay as they were.

Season dates or cadence. Edit the season, then use Rebuild delivery schedule (on the season’s Box contents page). It replaces every member’s future unbilled boxes using the new dates. Paid, skipped and held boxes aren’t touched.

One member’s boxes look wrong. On their member page, Recalculate packages rebuilds just their future unbilled boxes at today’s price with their current add-ons.

Tip: Rebuilding and recalculating replace future unbilled boxes, so one-time changes on those boxes are lost: a one-off add-on, a swap, a custom amount. Make those changes again afterwards.

Dates and times

  • Delivery dates and cutoffs use your farm’s timezone (Settings → Farm timezone). A cutoff of 1 day means changes close 24 hours before the delivery date.
  • Reminder emails go out at 8:00 AM in your timezone.
  • Today’s deliveries show up all day on delivery day, so you can still create a route or check people in that morning.

The Fulfillment page

Copia → Fulfillment lists upcoming delivery dates with how many members are getting a box, plus shortcuts to Check-in and Pack Labels for each date. It’s handy on delivery day. Hide it in Settings → Navigation if you don’t need it.

The member portal and customer accounts

The member portal works with Shopify’s current customer accounts, where customers sign in with an emailed code. If your store still uses the older password-based “classic” accounts, switch in Settings → Customer accounts in Shopify before setting up the portal.

Uninstalling Copia

Uninstalling deletes your Copia data after 48 hours. Two days after an uninstall, Shopify asks apps to delete the store’s data. Copia then permanently removes your seasons, members, delivery history and settings.

  • Reinstall within 48 hours and everything is still there.
  • Your Shopify data stays. Customers, orders and products are in Shopify, not Copia, so they’re kept either way.
  • Cancelling your plan isn’t uninstalling. To pause paying for Copia but keep your data, cancel from Settings → Plan and leave the app installed.

Copia doesn’t have an export yet. Before uninstalling for good, you can keep a member list by exporting customers from Shopify: filter Customers by the tag copia-member-active and click Export. Delivery and credit history live only in Copia, so they can’t be exported.
