Member credits and holds
How members manage their own holds, skips, and box preferences — and how to set up the member portal.
The Copia Member Portal
Members manage their own credits, skips, and box preferences through the Copia Member Portal — a page that lives inside their existing Shopify customer account. There’s nothing extra to install for members; they just need access to the portal link.
Setting up the portal link
Before members can access the portal, you need to add it to your Shopify customer account menu:
- In your Shopify admin, go to Online Store → Navigation
- Open Customer account main menu
- Click Add menu item
- Set the label to something like My CSA
- For the link, select Copia Member Portal from the list
- Save
Once saved, members will see My CSA appear in their account menu when they’re logged in.
What members can do in the portal
Upcoming deliveries & skipping
Members can see all their upcoming deliveries and skip individual weeks themselves. Each delivery shows the date, status, and amount. Once a delivery is locked for harvest, the Skip button is no longer available — only upcoming, unlocked deliveries can be skipped.
When a member skips a delivery, the charge for that week is credited back to their account automatically.
Credit balance
The portal shows the member’s current credit balance and a full credit activity log. They can see exactly when credits were added and why (e.g. “Delivery skipped”).
Pausing a membership
Members can pause their own membership directly from the portal using the Pause membership button on their membership card. While paused, they won’t be included in batch billing runs.
Box preferences
Members can set standing preferences that apply every week automatically:
- Never include — items they never want in their box. Tap an item to exclude it; tap again to remove the exclusion.
- Standing swaps — permanent substitutions (e.g. swap Bell pepper for Avocados every week). Members pick the item to replace and the item to receive instead.
- Dietary notes — a free-text field for allergy info or other notes your farm should know about (e.g. “Allergic to tree nuts”).
Your farm sees all of these preferences in Copia and can use them when packing boxes.
Issuing a credit manually
If you need to add a credit outside of a skip — for example, a damaged box or a missed week — you can do it from the member’s record in Copia:
- Go to Copia → Members and open the member’s record
- Click Issue credit
- Enter the amount and an optional note
- Save
The credit appears in the member’s portal immediately and is applied on their next billing cycle. Credits carry forward if they exceed the next charge.
